About The Role

Head of Operations role will be to;
  • To coordinate logistical aspects of the Academy, ensuring all player and staff documentation is up to date. Ensure databases are current, liaise with the EFL/Premier League, Football Association and County FA.
  • Liaise with PGAAC to be the Club nominated Coordinator
  • To ensure that all PGAAC requirements are met
  • Ensure all U9-U18 trialist/player paperwork is completed & assign players to systems.
  • Track PRS cards and any lost or damaged to charge parents
  • Arrange pre/mid/end-of-trial meetings, track trial dates, send reminders to Head of Recruitment and ensure all players are eligible for fixtures
  • Obtain International Clearance for foreign nationals and ensure you are up to date with current protocols for players of different registration status, track national team eligibility
  • Collate and send player distance appeals where applicable
  • Manage the Operations Management Application (IP).
  • Assist with obtaining Staff paperwork, ensuring all new starters have a DBS, relevant certification, and qualifications prior to starting.
  • Ensure every part-time member of staff receives a casual contract annually and every position is covered by a job description, with reporting lines, stored centrally.
  • Update all databases: SRS and Staff Files
  • Communicate with any staff who need badges/DBS renewing before expiry.
  • Ensure all policies are clear, in date and transparent for audit.
  • Collate the Academy monthly payroll
  • First point of contact for the Academy, responsive for all Academy phone calls and emails.
  • Liaise with the LFE on the Health & Safety Audit.
  • Be available for either Saturday or Sunday, dependent on rota for match day coordination.
  • Minute any meetings deemed relevant by Academy Manager.
  • Deliver all Coach/Player/Parent Inductions.
  • Commit to all Safeguarding and EDI requirements
  • Line Manage Academy Operations Department.
  • Manage Service Level Agreements within the Academy Organisation.
  • Enhance Academy ‘business opportunities’
  • Manage and oversee the Academy 1st team fixture ticket provision
Designated Safeguarding Officer role will be to;
  • Working with others within the Club to create a positive, child-centred environment within the sport
  • Manage referrals to children’s social-care services and the police
  • Central point of contact for internal and external individuals and agencies
  • Represent the organisation at external meetings related to safeguarding
  • Raise and distribute all policy, procedures and resources throughout the organisation
  • Advise on the organisation’s training needs and the development of its training strategy; provide safeguarding training where appropriate
  • Manage cases of poor practice and abuse reported to the organisation – be the key administrator for the electronic management system
  • Play a lead role in developing and establishing the organisation’s approach to safeguarding children and young people – a key role within the organisation
  • Attend 1st team home fixtures when necessary giving safeguarding support as required by the Matchday Safety Officer
  • Keep own knowledge and skills up-to-date Skills and abilities
  • Observe Fixtures across all phases and give feedback to staff in a safeguarding capacity
  • Commit to all PGAAC and Barnardos requirements
  • Ensure safeguarding standards are met and maintained
  • Play a lead role in maintaining and reviewing the club’s implementation plan/strategy for safeguarding and protecting children
  • Ensure that Safer Recruitment requirements are met
  • Commit to all EDI requirements across the club and academy
  • Process all DBS Applications for mandatory staff across the Club and Academy
  • Attend and contribute to AMT meetings
  • Lead all safeguarding investigations
  • Attend all EFL Area Safeguarding Meetings and commit to all necessary and associated training and courses
  • Create and design pathways and transitions across all phases by supporting Player Care Lead
